Privacy Policy

Information We Collect

We collect the information needed to operate the service, which may include your account identity (provided through our authentication provider), your unit and tenancy details, the maintenance tasks you complete and any photos you submit, and your points and redemption history.

If you open Upkept through a link a renter shared, we set a cookie that remembers that link's code for 30 days. If you then create a landlord account, we record the code on your account so we can tell that a renter invited you. No reward is paid for it, and the cookie is not used for anything else.

Photo details. When a tenant submits a proof photo, we keep the photo’s details, including where it was taken, to detect fraud. We do not share them.

How We Use Information

We use this information to operate the rewards program, verify task completion, calculate and fulfill rewards, and comply with applicable law (including any tax-reporting obligations).

Product Analytics

We use PostHog, a product-analytics service hosted in the United States, to understand how the service is used — for example, how many landlords add a property, and how many renters complete a task after accepting an invitation. The events we send are page views and a fixed list of product events (such as “a property was added” or “a reward was redeemed”) together with internal record identifiers and figures like points and amounts. We do not send your name, email address, street address, photos, invitation links, or gift-card codes, and we do not send an event for every click.

We also record sessions: how you move through the service — the screens you open and what you tap, click, and scroll — so we can find and fix problems, such as a button that does nothing when pressed. Before a recording leaves your browser, everything you type into a form is replaced with asterisks, and so are names, unit labels, and gift-card codes shown on screen; photos and file uploads are left out entirely; and invitation links are stripped of their codes.

We may also send a short report when a click does nothing or a page hits an error — which element and page were involved, the error’s type, and where in our code it happened — so we can find bugs. We do not send the error message itself.

We use this information to improve the service. We do not sell it, and we do not use it for advertising. If your browser sends a “Do Not Track” signal, we turn off analytics in your browser — no page views, no browser-side events, and no session recording. Actions recorded by our servers as part of running the program (for example, that an invitation was accepted or a reward was redeemed) are still recorded, because they are part of operating the service rather than browser tracking.

How We Share Information

We share information with service providers that help us run the service — for example, our authentication provider, our hosting and file-storage provider, our product-analytics provider, and the gift-card provider that fulfills your rewards — and with your participating landlord as needed to administer the program. We may also disclose information where required by law.

Data Retention

We keep information for as long as we need it to operate the program and your account. We may retain it longer where required for legal, tax, or recordkeeping obligations — for example, to support reward and tax reporting. When we no longer need information, we delete or de-identify it.

Security

We use reasonable administrative, technical, and physical safeguards to protect the information we hold. No method of transmission over the internet or method of electronic storage is 100% secure, however, so we cannot guarantee absolute security.

Your Choices & Data Requests

You may request access to, correction of, or deletion of your information by emailing founders@upkeptrewards.com. Some information may be retained where required by law. Deleting your account may end your participation in the program and forfeit any unredeemed points.

Children’s Privacy

The Service is intended for adults 18 and older, consistent with the eligibility requirements in our Terms. We do not knowingly collect information from anyone under 18, and if we learn that we have, we will delete it.

Changes to This Policy

We may update this policy from time to time. When we do, we will revise the “Last updated” date above. We may communicate material changes through the Service or your participating landlord. Your continued use of the Service after changes take effect means you accept the updated policy.
